Mosaic creates a forward-thinking startup building a next-gen collaboration platform for remote and hybrid teams. The vision: one workspace where teams can chat, call, manage tasks, and leverage AI tools — without switching between multiple apps.

The Challenge

Maiaddy wanted to go beyond the standard collaboration tools like Slack, Zoho, MS Teams, and Zoom. They needed a product that would:

  • Combine messaging, meetings, and task management into one seamless tool
  • Leverage AI integration to summarize meetings, generate notes, and support productivity
  • Deliver a clean, intuitive user experience that competes with market leaders
  • The internal team was focused on product engineering and backend AI models, so they partnered with us to own the entire UI/UX and product design journey — from concept to high-fidelity prototypes.

Our Role:

We designed Maiaddy Chamber’s full product experience from scratch: user flows, wireframes, UI system, and interactive prototypes for chat, video, tasks, and AI-assisted workflows.

Our Process

1. Product Discovery & Strategy

  • Conducted competitor analysis of Slack, Teams, and Zoom to identify usability gaps.
  • Facilitated workshops with stakeholders to define target user personas (remote teams, startups, educators).
  • Designed initial product roadmap prioritizing chat, meetings, and tasks.

2. Information Architecture & User Flows

  • Mapped out core user journeys: joining a workspace, starting a meeting, creating a task board, using AI summaries.
  • Structured navigation around simplicity: Home, Chat, Meetings, Tasks, AI Hub.

3. Wireframing & Prototyping

  • Created low-fidelity wireframes to validate layouts
  • Developed interactive mid-fidelity prototypes for testing with real users

4. High-Fidelity UI Design

  • Designed a modern, clean interface with subtle gradients and intuitive iconography
  • Built out screens for chat (threaded convos), video meetings, task Kanban boards, and AI features
  • Ensured accessibility with clear typography, contrast, and responsive layouts

5. Advanced Features Design

  • AI Summaries: Designed pop-up and sidebar experiences for instant meeting recaps.
  • Task Kanban: Drag-and-drop boards for team workflows.
  • Smart Notes: Auto-generated notes + action items linked to tasks.
